Type of Engagement: 12-month contract (Not open to 3rd party C2C consultants. Visa sponsorship is not available)
Work Location: Hybrid position located in Greenville, SC.
Candidates must reside in the Greater Greenville, SC.area.
Required Skills & Experience:
- Minimum of 3 years of proven experience as an administrative assistant or in a support role. An undergraduate or associate degree in a related field is a plus.

Job Overview:
Our client has an opening for an Administrative Assistant to oversee reporting, documentation, coordination, and communication essential to the Lifestyle team’s success.
Essential Job Responsibilities:
- Support collection and check documents from new suppliers for vendor registration process with Purchasing team.
- Oracle/Tradeshift Administration - creating req (PRQ), receipts, and create non-PO requests.
- Issue PRF/PRO and documents to pay suppliers.
- Manage payments to Editorial Freelancers & other Non-PO suppliers.
- Follow up and receipt of original supplier invoices in collaboration with accounting.
- Issue cash advance requests for ad-hoc projects.
- Track and report payments for internal reporting against project codes.
- AR supplier setup and edits.
- Invoice request and manual invoice creation (Until next system invoice automation phase is completed).
Operational Support:
- Import and clear any customs requirements / duties - examples include Chef Jackets, Plaques & Printed Guidebooks.
- Assist in the shipment of all event materials / supplies for all Branded Guide Ceremonies/co-branded dinners, other misc. events.
- Inventory management of Lifestyles giveaways including but not limited to the ordering and shipping of items.
- Working with the Lifestyle shipping team, ensure any equipment, goods & items are shipped to event destinations in good time.
- Coordinate with restaurants and the collateral group to ship replacement plaques to destination.
- Support travel & hotel reservations for events, seminars and others upon request. Applicable for Lifestyle team plus Chefs & media.

A reasonable estimate of the pay range for this role is $20.00 - $25.00 per hour. The disclosed pay range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. The compensation decisions are dependent on the facts and circumstances of each case, such as skills and experience levels.
